The five signs

What we look for before recommending AI

Most established businesses are closer to ready than their owners expect. Readiness has little to do with technical skill or software budgets. It depends on whether the business has repeatable work, a measurable cost of doing it by hand, and the revenue to invest in changing it. The first two signs are open; the rest unlock with your email.

01
Operations

The same work is repeated several times a week

Similar emails, similar questions, similar requests handled the same way each time. Repeated work follows a pattern, and patterns are where AI produces the most reliable return.

How to check this

For one week, have each person note any task they complete more than three times. Most teams find five to ten within the first few days.

02
Sales · Client service

Inquiries or clients slip through the cracks

An inquiry arrives, a follow-up is intended, and it does not happen. This is almost never a question of effort. It reflects a process that depends on someone remembering.

How to check this

Review the last 30 days of new inquiries. Count how many waited more than a business day for a first response, and how many received no follow-up after an initial quote or conversation.

03
Owner · Administration

Routine administration takes more than two hours a week

Scheduling, data entry, status updates, report assembly and copying information between systems. This is time paid at your rate, or a team member’s, for work that does not require judgment.

How to check this

Ask each person to estimate weekly hours spent moving information from one place to another. Multiply by a loaded hourly cost. The annual figure is usually larger than expected.

04
Owner · Finance

Headcount is growing faster than margin

Hiring kept pace with volume, but margins did not improve with it. Well-applied AI lets a business increase throughput without increasing headcount at the same rate.

How to check this

Compare revenue per employee today with two years ago. If it is flat or falling while volume rose, part of that growth is being absorbed by manual work.

05
Owner

Revenue is consistent enough to invest from

AI implementation is an investment, and it pays back fastest in businesses with steady revenue and established processes. Our clients are typically owner-led businesses with $500,000 or more in annual revenue.

How to check this

If the hours identified in signs 1 and 3, valued at your loaded cost, add up to more than a modest monthly investment, the return case is usually straightforward.

An honest view

What “not ready” looks like

Some businesses are better served by waiting. We say so in the consultation when that is the case.

If you recognized your business

Where to start

The businesses that see a return from AI start narrow, measure the result and expand from there.

The next step

Most clients start with an AI Opportunity Audit

A readiness check indicates whether AI is worth pursuing. The audit establishes exactly where. In a half-day working session we review how work moves through your business, quantify the cost of each repeated workflow, and deliver a ranked recommendation on what to build, what to buy and what to leave alone, with a written 90-day roadmap.
